Submittals

Definition

Submittals are documents or samples that the contractor submits to the owner or architect for approval before ordering or installing—e.g., product data, shop drawings, material samples. Approval confirms that what will be furnished conforms to the contract. Submittal logs track status and prevent installing unapproved items.

Why It Matters

Installing unapproved submittals can mean rework or rejection. Delays in submittal review can drive schedule and cost impacts. Tracking submittals (submitted, under review, approved, revised) is standard on commercial projects and supports schedule and change order management when approvals affect scope or price.

Field Example

Contractor submits shop drawing for custom railing to architect. Architect returns with comments; contractor revises and resubmits. Once approved, contractor orders and installs. Submittal log shows: “SD-04 Railing, submitted 3/1, approved 3/15.” If the approved railing differs from the original spec, a change order may be needed.
