How we handle information when you use OmniLedgr.

1. Introduction
This Privacy Policy describes how OmniLedgr ("we," "us") collects, uses, discloses, and protects information when you use https://omniledgr.com and our construction bookkeeping SaaS platform (the "Service").
This Policy applies to business users and their authorized personnel. It should be read with our Terms and Conditions.
2. Who is responsible for your information
OmniLedgr operates the Service and is responsible for processing personal information described here. For privacy requests, contact [email protected].
If you are an employee or agent of a Customer organization, your organization controls much of the business data in the workspace; direct organizational requests to your administrator where appropriate.
3. Information we collect
We may collect the following categories of information:
- Account data: name, email, password hash, organization name, role, and authentication logs.
- Business and construction data: jobs, contracts, estimates, schedules of values, vendors, subcontractors, pay applications, change orders, and related project metadata.
- Financial data: transactions, categories, chart of accounts, invoices, bills, payments, tax identifiers you choose to store (e.g., TIN last digits), and banking connection tokens where you enable integrations.
- Documents and files: uploads, generated PDFs, proposals, contracts, and lien-related documents.
- Usage data: IP address, browser type, device information, pages viewed, feature usage, and diagnostic logs.
- Payment data: subscription status and billing identifiers; card details are processed by our payment processor (e.g., Stripe), not stored in full by us.
- Communications: support emails and in-product messages you send us.
4. How we collect information
We collect information directly from you, from your organization's users, automatically through cookies and similar technologies, and from third parties you connect (such as payment or banking providers) with your authorization.
5. How we use information
We use information to:
- Provide, operate, secure, and troubleshoot the Service.
- Process subscriptions and authenticate users.
- Generate AI-assisted suggestions, estimates, categorizations, and documents you request.
- Enforce our Terms, prevent fraud, and comply with law.
- Send service-related notices (e.g., security, billing, product changes).
- Improve the Service through analytics and aggregated, de-identified insights.
6. AI processing of your data
When you use AI features, we may send relevant portions of Customer Data (such as transaction descriptions, job details, or document text) to AI models or subprocessors to produce outputs for your account.
We process this data to deliver the feature you invoke, not to provide legal or professional advice. You control what you submit; avoid sending unnecessary sensitive personal information.
We do not use your identifiable Customer Data to train public foundation models for unrelated products without your explicit consent. We may use de-identified or aggregated data to improve reliability and safety.
AI outputs may be stored in your workspace as part of your Customer Data. Review outputs before external use, as described in our Terms.
7. Legal bases (where applicable)
Where laws such as the GDPR require a legal basis, we rely on: performance of a contract (providing the Service); legitimate interests (security, improvement, fraud prevention); consent where required (e.g., certain marketing); and legal obligation.
9. We do not sell personal information
We do not sell personal information for money. We do not share personal information for cross-context behavioral advertising as 'selling' or 'sharing' under the California Consumer Privacy Act (CCPA), as amended by the CPRA, except as described for service providers processing data on our behalf.
10. Data retention
We retain information while your account is active and as needed to provide the Service, resolve disputes, enforce agreements, and comply with legal obligations. Backup copies may persist for a limited period after deletion.
You may request deletion of your account subject to legal retention requirements and legitimate business needs (e.g., billing records).
11. Security
We implement administrative, technical, and organizational measures designed to protect information, including access controls, encryption in transit (HTTPS), and environment isolation. No method of transmission or storage is 100% secure; you use the Service at your own risk.
You are responsible for safeguarding credentials and configuring organization access appropriately.
12. Your privacy rights
Depending on your location, you may have rights to access, correct, delete, or export personal information, and to object to or restrict certain processing.
California residents may have additional rights under CCPA/CPRA, including knowing categories collected, requesting deletion, and correcting inaccurate information. We will not discriminate against you for exercising rights.

13. Children
The Service is not directed to children under 18. We do not knowingly collect personal information from children.
14. International users
If you access the Service from outside the United States, you understand that information may be processed in the United States and other countries where we or our providers operate, which may have different data protection laws than your jurisdiction.
16. Changes to this Policy
We may update this Privacy Policy by posting a revised version with a new effective date. Material changes will be communicated as required by law.
